1. Overview
VoluChat is operated by QubitNine Technologies Private Limited. We provide autonomous conversational commerce agents for Instagram and WhatsApp, enabling Shopify and D2C brands to qualify inquiries and close orders directly in chat.
This Privacy Policy explains what information we collect, how we use it, how we protect it, and how merchants and customers can contact us about privacy requests.
2. Information we collect
We collect only the information needed to provide, secure, support, and improve VoluChat. Depending on the features you enable, this may include:
- Merchant account details such as name, email address, company, store URL, and billing or plan information.
- Shopify store data such as products, variants, inventory, collections, carts, checkouts, orders, fulfillments, discounts, and customer records when required for enabled workflows.
- Protected customer data from Shopify, such as customer name, email, phone number, shipping or billing address, order history, and related order metadata, only when the merchant grants access and the workflow requires it.
- Connected-channel data from services such as Instagram, Facebook Pages, WhatsApp, or email, including messages, comments, conversation context, page identifiers, access tokens, and handoff notes.
- Usage, log, device, and technical data such as IP address, browser type, timestamps, error logs, API events, security logs, and feature usage.
3. Shopify protected customer data
For Shopify stores, VoluChat may request access to protected customer data only for approved commerce purposes, such as answering customer questions, preparing cart or order recovery workflows, helping merchants support buyers, attributing agent actions, or syncing Shopify context into merchant-approved agent workflows.
We do not sell protected customer data. We do not use protected customer data for unrelated advertising, profiling, or resale. Access is limited to the minimum data needed for the feature the merchant enables.
4. How we use information
We use information to operate VoluChat, connect merchant-approved integrations, generate agent recommendations or response drafts, route workflows for human approval, provide customer support, monitor reliability, prevent abuse, comply with platform rules, and improve product quality.
Where VoluChat prepares messages or workflow recommendations, merchants remain responsible for their customer relationships, business rules, approvals, and final use of the output.
5. Data sharing and subprocessors
We may share information with service providers that help us host infrastructure, store data, process logs, send communications, provide analytics, or deliver support. These providers are allowed to process information only for VoluChat-related services.
VoluChat also integrates with third-party platforms selected or authorized by merchants, including Shopify, Meta services, WhatsApp, and other commerce or communication tools. Data handled by those platforms is subject to their own terms and privacy policies.
6. Data retention and deletion
We retain merchant and customer data only for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and support legitimate business records.
Merchants can disconnect integrations or request deletion of data associated with their account. When a Shopify store uninstalls VoluChat or requests deletion, we will delete or anonymize store and protected customer data unless retention is required for security, fraud prevention, legal compliance, or backup recovery windows.
7. Security practices
We use administrative, technical, and organizational safeguards designed to protect merchant and customer data. These include encrypted transport, restricted internal access, scoped credentials, environment separation, access logging, backup controls, and operational monitoring.
No internet service can guarantee absolute security. If we become aware of a security incident that affects personal data, we will investigate and notify affected parties or regulators where required by law or platform policy.
8. Customer rights and merchant controls
Depending on applicable law, individuals may have rights to access, correct, delete, export, or restrict use of their personal information. Buyers should usually contact the merchant they purchased from first because the merchant controls the customer relationship.
Merchants can contact us for privacy requests, integration disconnection, data export, deletion, or questions about how VoluChat handles Shopify protected customer data.
9. International processing
VoluChat may process information in countries where we or our service providers operate. When information is transferred internationally, we use reasonable safeguards appropriate to the nature of the data and the service.
10. Changes to this policy
We may update this Privacy Policy as VoluChat, Shopify requirements, platform integrations, or legal obligations change. Material changes will be posted on this page or communicated through appropriate product or email notices.
